Why a good email signature matters more than people think

A signature is the one piece of branding that appears on every single email you send — often dozens of times a day. Yet most people either skip it entirely or paste in something inconsistent between their phone, laptop, and webmail. A clean, consistent signature does three things: it confirms who you are before the recipient reads a word of your message, it gives them an easy way to reach you outside of email (phone, site, socials), and it quietly signals professionalism, especially in client-facing or B2B communication.

What makes a signature "good"

Keep it to 3–4 lines of text. Name, title/company, and one or two contact methods. Anything longer starts to look like a footer, not a signature.
Use one accent color, not five. A single color for your name or a divider line reads as intentional; multiple colors read as cluttered.
Design for mobile first. More than half of business email is opened on a phone. Wide tables or oversized logos often break or get clipped in mobile mail apps.
Skip the inline images where possible. Logos and headshots are fine, but many corporate spam filters flag signatures that are mostly image with little text.
Avoid quotes, taglines, and "sent from my iPhone" style additions unless they're actually part of your brand voice — they're the first thing recipients tune out.

How this generator works

Everything happens in your browser: the fields you fill in (name, title, contact details, social links) are assembled into email-safe HTML using inline styles, which is the only styling method that survives being pasted into Outlook, Gmail, or Thunderbird's signature editors. Nothing you type is uploaded or stored — refreshing the page clears it.

Common mistakes to avoid

Using CSS classes or < style > blocks. Most email clients strip these out, which is why this tool generates only inline styles.
Uploading a huge logo file. Keep it under 50KB and it will load instantly even on slow connections — large images are also a common reason signatures get flagged as spam.
Forgetting to test in the actual client. A signature can look perfect in the preview and still render oddly in Outlook's older HTML engine — always send yourself a test email after setup.

FAQ

Will this signature work in Gmail's mobile app?
Yes — the generator uses table-based, inline-styled HTML, which is the most broadly compatible format across desktop and mobile clients.
Can I use this for a whole team?
Yes. Generate one, then just swap the name/title/contact fields for each teammate — the layout and branding stay consistent.
Does it store my data for next time?
No. Everything resets when you close or refresh the tab, by design — nothing is sent to a server.
